President called the meeting to order at: 6:00 PM and adjourned at 7:37 PM

Meeting Notes:

Honor and Remember: Guests – Laura Sutton, Paulette Martone, Sean Kriner and Augustine Martone.

Sid introduced our guests and Sean talked about the organization. Honor and Remember represents Soldiers, First Responders, Veterans and Law Enforcement.  http://www.honorandremember.org/

Their mission: To perpetually recognize the sacrifice of America’s military fallen service members and their families. The organization pays tribute to all military lives lost, not only while serving on active duty but also as a result of serving. Military deaths in all wars or conflicts and all branches of service from our nation’s inception are recognized.

The primary vehicle for perpetual recognition is a specific and dedicated symbol of remembrance created by this organization: The Honor and Remember Flag, which is intended to fly continuously as a tangible and visible reminder to all Americans of the lives lost in defense of our national freedoms.

Sean also mention the 5k run, AZ Run for the Fallen.

Michael Thelen motioned Honor and Remember to participate in the parade and Paul second the motion. All in favor, none opposed and motion granted.

Sid explained the network with both groups is to build a relationship.  Lisa expressed concern this could overlap My Veteran Hero and Sid assured her it would not.

Volunteers: Sylvia – additional guests attending the meeting are Helen Lancaster and Valerie Smith.  Helen has parade experience and has volunteered with the Phoenix Veterans Day Parade.  She also works for the Department of Veterans Affairs.  Valerie works for the Department of Veterans Affairs and she is friends with Helen. She also has parade experience.

Officer Nominations: Sylvia passed around officer nomination forms.

The slate of officers is: G.E. Sid Hagel -President, Melissa Forrester Vice President, Erin Sulzer Secretary, Janice Shaproski Treasurer and Trustee Gerry Paulus. There were no new nominations from the floor. Nominations were closed.

Michael Thelen motioned for one acclimation vote for the present slate of officers, including signature authority at BBVA Compass Bank; Ester Alger seconded the motion.  All in favor, none opposed. Motion granted.

Events:  Sylvia also passed out a listing of upcoming events.  The EVVPA will have a booth at the events and Sylvia will man most of the events except for Falcon Field Open House.  Sid and Bob L. will stand in for her.

2017 Parade: Sid passed around ballets to vote for which member should ride in the parade car.  The person selected will be announced at the next meeting.  Michael Thelen talked about his experience representing the EVVPA in the 2016 parade.  Sid also elected Janice as a parade judge.

Minutes:  January minutes were emailed to everyone.  Michael Thelen motion the approval of the minutes and Gerry second the motion.  All in favor, none opposed and motion granted.

Treasurer’s Report:  Sid mention there is money in the bank and more will be discussed in the next meeting.

Budget:  Theresa passed out copies of next year’s budget and it will be discussed as a line item at the next meeting.  Theresa also explained the form is a breakdown what spent last year.

*Gerry asked to be excused from the meeting.  He also briefly mentioned he updated the timeline presented in January’s meeting.  Sid later passed out copies of the updated version of the timeline.

Parade Committee:  Paul has attempted to contact the USAF Band of the Golden West.  Theresa responded she reviewed their application policy and try again closer to the parade.

Website:  Sid mentioned Emmanuelle is the web designer and she created a new page, Award Winners.  Sid also reviewed the section, Contact Us. This section is for members only and requires a password.  Both Sid and Theresa also mentioned another section, Letterhead.  This is for an officer to approve any items before sending out.

Grasshopper and Phone List:  Sid and Theresa have been working on a Grasshopper account since July 2016. Sid passed out a list of Grasshopper phone numbers and emails.  Sid will start calling the assigned members, using Grasshopper, from his Grasshopper phone number.  There is an app for Grasshopper to be downloaded and if a member cannot download the app, the call will go straight to their email.  Sylvia asked if everyone has attempted to download the app. The response was not everyone has.

Teamworks: Theresa explained in 2016 was the first year the EVVPA used the publicity firm and they helped the parade.  Teamworks introduced Theresa to 960 The Patriot and The Tribune.  She has recently had a meeting with Teamworks and the proposal for 2017 cost of services from Teamworks is $5,000.00.  Michael Thelen motion to continue relations with Teamworks and accept $5,000.00 expense, Sylvia second the motion, all in favor none apposed and motion granted.

Lisa did ask what will Teamworks not help us with this year and Theresa responded that we will not have to re-write the sponsors programs.  Melissa also mention they assist with strategy.

Parade Theme: Sid suggested 2017 parade theme should be, Honor and Remember.  Motion was on the floor and received permission from the attendees from Honor and Remember. A letter of authorization for use of the name is to be sent to EVVPA.  Erin motion to approve the theme and Michael Thelen second the motion.  All in favor, none opposed and motion granted.

Mesa Chamber of Commerce:  Melissa discussed the benefits of joining the chamber: Networking, sponsorships, parade entries, donations etc.  She also encouraged everyone to review the Chamber’s event calendar and for everyone to participate in events.  A listing of upcoming events was passed around to everyone. Sid also encouraged anyone who attends the events to wear the EVVP polo shirts provided last year.  He explained it is great for business and branding.  If anyone does not have an EVVP polo shirt, please contact Theresa,

Social Media:  Erin discussed both social media accounts, Facebook and Twitter. The views and ‘Likes’ have increased especially with event photos.  The recent posting of parade winners reached to 459 views on Facebook.  This has been the highest number to date.

Bylaws: Michael Thelen explained the only changes in the bylaws need to be made are typos. This does not require a vote and is completed prior to the next printing.  He made a motion to leave the Bylaws alone and Sylvia second the motion.  All in favor, none oppose and motion granted.

Ira Hays Parade in Sacaton:  Sean Kriner from Honor and Remember mentioned he will be participating in the parade on February 25th.  Paul indicated he will also be in attendance.  Erin requested photos from Sean.
